COVID-19 precautionary measures taken by the Hellenic American Union during all exams it administers

The following measures affect all exams administered by the Hellenic American Union until July 31, 2020.

In case the measures are to apply to any exams administrations after that date, the Hellenic American Union will inform exams stakeholders accordingly.

The following measures pertain exclusively to exams administered by the Hellenic American Union. For any other issue not related to exams administration but related to general COVID-19 precautionary measures, relevant Greek legislation and official government guidelines apply.

In case some of the following concern exclusively the administration of written and/or oral exams and are practices different from normal, the Hellenic American Union assures that in no way will they affect test takers’ rating by test developers. Anything else not included in the following and which concerns exclusively the administration of written and/or oral exams applies as normal.

Written and speaking tests

Exams personnel, venues, rooms, equipment

  • Prior to their first exams-related assignment, all our exams personnel will have submitted a declaration form stating personal information related to COVID-19. The Hellenic American Union will not allow into exams any personnel who declare issues revealing exposure to COVID-19.
  • On each administration day, before starting their daily duties, our exams personnel will have their body temperature measured with infrared thermometers which do not require any physical contact.
    The Hellenic American Union will not allow into exams any personnel whose body temperature is above 37.3°C1 .
  • During any speaking and written tests administration, our exams personnel will use antiseptic liquid and wear gloves and face masks. The Hellenic American Union will also have such items available in all exams venues.
  • During any speaking and written tests administration, all exams rooms will be adequately and naturally ventilated. In case natural ventilation is not possible, air-conditioning will be used, in accordance with the most recent relevant circular of the General Directorate of Public Health of the Ministry of Health2
  • All exams venues, rooms, furniture, and equipment will be dully and professionally sanitized before each written test is administered and during administrations of speaking tests according to official government guidelines.

Test takers

  • Exclusively for their own protection and, in general, the protection of the general public, any test takers who belong to any vulnerable health group as defined by the most recent relevant Joint Ministerial Decision3 are strongly recommended not to participate in any exams we will administer until July 1, 2020. We will be glad to transfer the specific test takers’ applications to an exams administration following.
  • Before participating in the exams, for reasons of protection of public health, test takers will have to complete a form with personal details in accordance with the most recent relevant Joint Ministerial Decision4.
  • Before test takers enter exams rooms, our exams personnel will measure their body temperature, using infrared thermometers which do not require any physical contact.
    The Hellenic American Union reserves the right to deny entrance to any test taker whose body temperature is above 37.3°C5. If this happens, the specific test takers’ applications will be transferred to an exams administration following.
  • Test takers are not allowed to bring any personal belongings to exams venues such as the following: mobile phones or other such electronic devices (i.e. smart watches); notes/books; handbags; bookbags; purses etc. The only items test takers are allowed to bring to exams venues are the following: valid proof of identity; wrist watch or clock; soft pencil(s) HB #2 (or black/blue pen for PETfS, FCEfS, CAE and CPE exams or colored pencils for the YLE exams); eraser; pencil sharpener; ruler; bottled water; antiseptic liquid; gloves; face mask.
    Of the above items, test takers must bring the following: valid proof of identity; watch or clock; soft pencil(s) HB #2 (or black/blue pen for PETfS, FCEfS, CAE and CPE exams or colored pencils for the YLE exams). Our exams personnel will not provide test takers with pencils (or pens or colored pencils), erasers, or pencil sharpeners; test takers must wear their wrist watches at all times.
    In case test takers bring to the exams venue any other items, no storage will be provided; the Hellenic American Union brings no responsibility for any damage, loss, or theft.  
  • Groups of test takers and individual test takers must be escorted to exams venues by no more than one person. While speaking and especially written tests are administered, escorts are not to wait outside exams venues.
  • If they wish, during each speaking and written tests administration, test takers may use their own antiseptic liquid and wear their own gloves and face masks. The Hellenic American Union will also have such items available in all exams venues.
Written tests
  • Test takers may be at the exams venue up to 45 minutes before the time of their written test according to the schedule they have received. Upon arrival to the exams venue, following instructions by our exams personnel, test takers must go directly into the exams room where they will take the test. Test takers are not to wait at all outside or inside the exams venue before their written test begins.
  • If they wish, test takers may use their own antiseptic liquid and wear their own gloves and face masks. The Hellenic American Union will also have such items available in all exams venues.
  • Our exams personnel will ensure that seating arrangement in exams rooms is such that all persons in the rooms maintain a distance of at least 1.5 meters from each other.
  • During written tests, test takers are not allowed to share any item with each other.
  • In case any exams include breaks for test takers, breaks will take place inside the exams room. Test takers will not be allowed to exit exams rooms during breaks.
Speaking tests
  • Test takers must present themselves to the exams venue 5 minutes before their speaking test begins. Before their speaking test begins, test takers are not to wait outside the exams venue.
  • If they wish, test takers may use their own antiseptic liquid and wear their own gloves and face masks. The Hellenic American Union will also have such items available in all exams venues.
  • Our examiners will ensure that seating arrangement in exams rooms is such that all persons in the rooms maintain a distance of at least 1.5 meters from each other.  
  • Examiners will be wearing face masks during tests. In case test takers need examiners to repeat anything during tests, they should not hesitate to ask; such requests will not affect test takers’ rating.
  • Specifically for speaking tests administered with at least 2 test takers:
    • All tests will be administered with 2 test takers only. No tests will be administered with 3 test takers. Following examiners instructions, the 2 test takers will be seated opposite and facing each other, at a distance of at least 1.5 meters from each other.
    • During speaking tests, test takers are not allowed to share any item with each other.
  • Specifically for speaking tests administered by 2 examiners:
    • All tests will be administered by 2 examiners as normal, seated opposite and facing each other, at a distance of at least 1.5 meters from each other.
  • Specifically for the Michigan Language Assessment ECPE speaking tests:
    • During stage 4A (“planning substage”), test takers will not move near each other and will not share the same prompt sheet. Test takers will cooperate to plan their presentation to Examiner 2, speaking at a voice louder than normal and using their individual copy of the same prompt.
    • During stages 4B and 5, when Examiner 2 takes over the administration of the test, she/he will remain seated.
